POSITION TITLE: ASSOCIATE I – GUIDANCE CLERK                                           REPORTS TO: BUILDING PRINCIPAL

OVER-TIME STATUS: NON-EXEMPT                                                                           PAY GRADE: 105


JOB SUMMARY:
Performs responsible clerical work requiring a qualified typist; prepares and maintains enrollment and related records; does related work as required. Work is performed under the regular supervision of the guidance director, counselor, assistant principal and/or principal.

ESSENTIAL DUTIES:
Assisting the Guidance Director and/or Counselor with student enrollment, transcripts, records and files.

  1. Enrolls new students, secures and verifies data, prepares files and records;
  2. Maintains Powerschool for attendance and grade records and reports;
  3. Processes withdrawing students, processes and forwards records;
  4. Types letters, memos, reports, schedules, student files and records;
  5. Schedules student conferences with Guidance Counselors;
  6. Serves as liaison with homebound students, teachers, coordinators and counselors;
  7. Sets up and maintains office filing systems;
  8. Posts attendance and student records to computer;
  9. Answers telephones, receives information and provides answers regarding enrollment, withdrawal, attendance, courses and related information; provides back up assistance for other clerical staff as needed;
  10. Greets students, prepares and distributes progress reports;
  11. Performs related tasks as required;
  12. Other duties as assigned by the Principal

JOB SPECIFICATIONS/PHYSICAL REQUIREMENTS:
Some knowledge of standard office practices, procedures and equipment; some knowledge of school system routine and procedures; some knowledge of guidance terminology, methods and procedures; general knowledge of business English, spelling and arithmetic; thorough knowledge of personnel and payroll procedures, financial record keeping and banking
procedures; ability to establish and maintain effective working relationships with others; ability to work under pressure; ability to organize and perform work independently; ability to type accurately and at a reasonable rate of speed; ability to meet the public effectively.

This is light work requiring the exertion of up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and a negligible amount of force constantly to move objects; work requires stooping, reaching, standing, pushing, pulling, lifting, and fingering; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and
analyzing written or computer data, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.

EDUCATION AND EXPERIENCE:
Any combination of education and experience equivalent to graduation from high school.
